Hotel Sales Follow-Up: A Practical Sequence for Low-Season Leads

|

Hotel sales outreach often fails for a simple reason: the first message is treated as the entire sales process. A contact does not reply, the lead is forgotten and the property moves on.

In reality, many low-season opportunities need several touches. Travel dates may not be final, the buyer may be busy, or the request may sit with another person internally. A professional follow-up system keeps the opportunity alive without becoming intrusive.

1. Record the next action immediately

Every commercial contact should end with a next step. If there is no reply, schedule the next follow-up. If there is interest, record what information is missing. If a proposal was sent, set a date to review it.

At minimum, your CRM should include account, contact, segment, target dates, last interaction, next action, status and notes.

2. Use a simple follow-up sequence

A practical sequence can look like this:

  • Day 0: initial relevant outreach;
  • Day 3: short follow-up with one clear reason to respond;
  • Day 7: add useful context, availability or a specific use case;
  • Day 14: concise check-in, ideally with a different angle;
  • Day 21: close the loop or move the lead into nurture.

This is a framework, not a rigid rule. High-value group opportunities may justify more follow-up. Low-fit prospects may justify less.

3. Do not send the same message five times

Each follow-up should add something. Useful angles include:

  • new availability for the target period;
  • a simplified rate or package;
  • a relevant direct-booking benefit;
  • a specific example of how the property can support their use case;
  • a question that makes qualification easier.

Repeated “just checking in” messages quickly lose value.

4. Separate no response from no interest

A prospect who has not replied is not automatically lost. A prospect who explicitly says the timing, location or offer does not fit should be treated differently.

Use clear pipeline stages such as contacted, engaged, qualified, proposal sent, nurture, won and lost. That makes follow-up more intelligent.

5. Follow up on enquiries faster than cold outreach

An incoming group or corporate enquiry has already shown intent. Response speed and clarity are therefore more important. Send the essential information quickly, confirm anything missing, and set a follow-up point if the buyer does not decide immediately.

A clear quote with dates, inclusions, total price, validity and terms reduces friction.

6. Coordinate email, LinkedIn and phone

Do not force every lead through the same channel. A contact who ignores email may answer a LinkedIn message. A serious group enquiry may be easier to progress by phone. Use the channel that fits the relationship while keeping the history in one CRM.

7. Use follow-up after the stay too

Commercial follow-up should continue after successful delivery. Ask whether the organization has recurring travel needs, future events or other teams that may use the property. Repeat business is often more efficient than rebuilding demand from zero.

8. Connect follow-up to a wider sales system

Follow-up only works when targeting and offer quality are strong. Start with the hotel sales strategy framework and use B2B hotel sales outreach to build qualified conversations.

9. Put follow-up on the calendar before the quiet period

If a property starts outreach early but does not leave enough time for follow-up, much of the potential is lost. Build several weeks of commercial activity into the plan. Our 90-day low-season commercial calendar shows where follow-up fits.
